Privacy Policy

ERPNext.JP (the "Service") is provided by MY HATCH LLC (the "Company"). The Company treats the protection of personal information as an important responsibility and establishes this Policy in accordance with the Act on the Protection of Personal Information of Japan (the "APPI") and related guidelines.

1. Compliance with Laws and Regulations

The Company complies with the APPI and other applicable laws and guidelines and handles personal information appropriately.

2. Acquisition of Personal Information

The Company acquires personal information by lawful and fair means. "Personal information" means information that can identify a specific individual, such as name, address, telephone number, email address, or personal identification codes. We may acquire and use information entered into forms even while still in progress.

3. Purposes of Use

The Company handles personal information to the extent necessary to achieve the following purposes:

  • Application for, change to, cancellation of, and verification of registrations for the Service
  • Billing and settlement based on terms of service or price lists
  • Inquiry handling, technical support, and notifications about incidents/maintenance
  • Improvement of the Service and announcements of new features and services
  • Notice of seminars and events, surveys, and email newsletters
  • Coordination with our partners and resellers (limited to what is necessary)
  • Compliance with laws and prevention of fraud or unauthorized access

4. Security Control Measures

  • Establishment and operational review of handling rules (organizational measures)
  • Periodic training and pledges from employees (human measures)
  • Physical protection such as room access and media management (physical measures)
  • Access control, encryption, and log auditing (technical measures)

5. Outsourcing of Handling

When entrusting all or part of the handling to a third party, the Company conducts appropriate vendor selection, contracting and supervision.

6. Provision to Third Parties

The Company will not provide personal information to third parties without the individual's consent, except in the following cases:

  • Where necessary to protect life, body, or property
  • Where particularly necessary for public health or healthy upbringing of children
  • Where cooperating with the laws and duties of government or its agencies
  • Outsourcing within the necessary scope to achieve the stated purposes
  • Provision in connection with business succession
  • Joint use cases (see Article 14)
  • Other cases permitted by law

7. Anonymously Processed and Pseudonymized Information

If we create or handle anonymously processed information or pseudonymized information, we will follow applicable laws to take re-identification prevention and security control measures.

8. Provision to Third Parties Outside Japan

If overseas provision becomes necessary, the Company will provide the prescribed information, obtain consent and exercise supervision under the APPI. We do not currently plan continuous overseas transfers.

9. Cookies and similar (acquisition by means not readily recognizable)

This site uses cookies for usability, statistical analysis, and ad-effectiveness measurement. Cookies themselves do not contain personally identifying information. You can disable them in your browser settings, though some features may become unavailable.

The Company assumes no responsibility for handling on external sites outside our control.

10. Third-party Ad Distribution

Third-party ad distributors may use cookies and information that the Company provides in encrypted form to deliver ads based on visit information to our site. Encrypted information is not used for purposes other than ad distribution.

11. Use of Analytics Tools

The Company uses tools such as Google Analytics to analyze site usage. Collection and management follow each provider's policy. For opt-out, see each provider's procedure.

12. Continuous Improvement

To maintain proper personal-data protection, the Company regularly reviews and revises this Policy. Significant changes will be announced on this site.

13. Disclosure / Correction / Deletion / Suspension Requests

The Company responds to requests from the individual for disclosure (including third-party provision records), correction, deletion, erasure, and suspension of use, in accordance with applicable laws. We may ask you to present identity verification documents and to choose the form of provision (electronic or paper).

The Company may decline part or all of a request where it would harm the rights or interests of others, significantly hinder our operations, or otherwise constitute a violation of law.

14. Joint Use

The Company may jointly use personal data as follows:

  • Scope of joint users: our resellers and outsourcing partners (support, maintenance, payment, cloud operations, etc.)
  • Purpose of joint use: to achieve the purposes set out in Article 3
  • Items shared: name, company, department / title, contact (email / phone), contract information, usage status, content of inquiries, etc.
  • Person/entity responsible: MY HATCH LLC
  • Address and representative: see "Contact" in Article 15.

15. Retention Period

We retain personal information for the period necessary to achieve the purpose of acquisition or for the longer mandatory retention period required by laws, accounting standards or tax requirements; we erase it without undue delay when no longer needed. For technical information such as logs, retention periods are set in line with security and operational needs.

16. Data Storage Location

The production environment of the Service is, in principle, hosted on data centers in Japan (e.g., ConoHa VPS / GMO Internet Group's Tokyo / Kansai regions). For disaster recovery and performance reasons, we may back up or replicate data to other regions within Japan. We do not currently plan continuous storage at overseas locations (see Article 8).
